Role Overview
The Legal Operations Specialist will play a key role in building the foundational systems, workflows, and strategies that enable smooth firm operations. This person will manage internal knowledge bases, oversee client engagement processes, support financial administration, and lead process improvements. The ideal candidate is detail-oriented, analytical, and passionate about efficiency, innovation, and continuous improvement.
Key Responsibilities
Legal Operations Support
– Create value by building systems, optimizing workflows, and contributing to strategy.
– Manage the client engagement process and conflicts of interest.
– Update the internal knowledge base, including formatting and basic substance updates to form documents.
– Assist with outlining, researching, and drafting educational content for clients and attorneys.
Finance, Systems & Automation
– Build and manage the firm’s stakeholder management system (CRM) and communication processes.
– Own the invoicing process, including monthly invoicing, reminders, and collections.
– Oversee and improve the accounting and finance system, including data and financial analysis.
– Design and implement new automations leveraging software and AI.
Operations & Coordination
– Support team meeting scheduling and programming (e.g., prepare strategy presentations, resources, make reservations, etc.).
– Special projects TBD.
Qualifications
Experience
– Minimum 2 years of experience in legal operations or a related field (such as startup or corporate law), or a strong demonstrated interest in the area.
– Experience in client services and operational process improvement.
– Familiarity with AI tools, workflow automation, or technology-driven operations.
Skills
– Basic finance and accounting knowledge, with proficiency in Google Sheets.
– Strong analytical, organizational, and problem-solving abilities.
– High attention to detail, efficiency-driven mindset, and proactive approach to execution.
– Ability to manage multiple priorities independently while maintaining accuracy and quality.
– Collaborative team player with a strong sense of accountability and integrity.
